Privacy Notice

Effective from 14 September 2026

This explains what personal information we collect when you reserve an appointment or fill in a wedding consultation, why we need it, how long we keep it, and what you can ask us to do with it.

We’ve written it from what our website and systems actually do, rather than from a template. If anything here doesn’t match your experience, please tell us — we’d want to know.

Who we are

Hashtag Hair is a trading name of Laura Bailey, a sole trader, and she is the data controller for the information described here.

Reserving an appointment

When you use the reservation form on this website, we collect:

We also generate a reference and a technical identifier so that tapping “send” twice doesn’t create two requests.

Why we’re allowed to use it

We use these details to contact you and arrange your appointment — which is what you asked us to do when you sent the form. Our lawful basis is that the processing is necessary to take steps at your request before entering into a contract, and afterwards to perform it.

We don’t send marketing. Everything we send you is about your own appointment. We don’t run a newsletter or a mailing list, and your details aren’t added to one.

Wedding consultations

If you’re booking bridal hair, we send you a private link to a consultation form. It asks for rather more, because a wedding morning takes more planning than a cut and finish:

Every question on the consultation form is optional. Leave anything blank and the form still works. It exists to save you repeating yourself in person, not to build a file on you.

Your private link

Your consultation has its own web address, and anyone who has that address can open it. Please treat it like a key: don’t post it publicly, and be aware that if you forward it, whoever receives it can see and change what you’ve entered. Tell us if you think it’s gone astray and we’ll sort it out.

Why we’re allowed to use it

To prepare for your consultation and your wedding day — again, performance of what you’ve asked us to do. Where the information is about someone else, see the next section.

Details about other people

The consultation form asks about your bridal party — names, roles, approximate ages, hair length, likely styles and any notes. That may include children, such as flower girls.

We use it only to work out how long the morning will take and who needs what. Our lawful basis is our legitimate interest in planning a booking properly, which we think is a fair use because it’s the minimum needed to run the day and nobody would reasonably expect us to do it blind.

If you’re in someone’s bridal party and you’re reading this — you can ask us what we hold about you, ask us to correct it, or ask us to remove you entirely, by ringing the salon on 01332 704772. You don’t need the bride’s permission to ask, and it won’t affect her booking.

We ask brides to let their party know we’ll be holding these details, and we mention it when the party comes in.

Health and comfort information

Two parts of our forms can involve information about your health, which the law treats as needing extra care.

Skin tests before colour

We ask whether you’ve had a skin test with us and when. A skin test exists to catch an allergic reaction before it happens, and we can’t carry out a colour service without a valid one. We keep the result so we know whether you’re due another.

Making you comfortable

The consultation form asks whether there’s anything that would make you more comfortable on the day — for instance if you’d rather not lie back at the basin. We only need to know what to do differently. Please don’t send us medical details; we don’t need them and we’d rather not hold them.

If you do tell us something about your health, we use it only to look after you safely and comfortably at your appointment. We don’t share it with anyone outside the salon.

Being straight with you: the exact legal condition we rely on for health-related information is something we’re taking proper advice on, and we’ll update this page when that’s settled. In the meantime we’ve deliberately narrowed what we ask for, and you can always tell us in person on the day instead of writing it down.

Records we keep in the salon

Who else sees your information

Inside the salon, only Laura and the team. We don’t sell your details, and we don’t share them for anyone else’s marketing.

We use these companies to run the website and send emails:

Cloudflare Hosts the website and the database your reservation is stored in, and routes email sent to our salon address.
Brevo Sends the acknowledgement email when you make a reservation, and the alert that tells the salon about it.
Google Fonts Supplies the typefaces the site is set in. Your browser fetches them from Google, which means Google sees your IP address when a page loads. No cookies are set and nothing you type is involved.
WhatsApp Only if you’ve asked to be contacted that way.

There is no analytics, advertising or tracking of any kind on this website. We don’t know who visits it or what they look at.

These companies operate internationally, so your information may be handled outside the UK. We’re currently confirming the details of the safeguards in each provider’s contract, and we’ll set them out here once we’ve done that properly rather than describe them from memory.

How long we keep it

Your rights

Under UK data protection law you can ask us to:

Ring the salon or email salon@hashtag-hair.co.uk. We may need to check you are who you say you are before we act — that protects you, not us. We’ll respond within one month, and it’s free.

Asking us to delete your details won’t stop you booking with us again; it just means we’ll be starting from scratch next time.

If you’re unhappy

Please tell us first — ring the salon and ask to speak to Laura. Most things are a misunderstanding we can put right the same day.

If we can’t sort it out, you have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator:

Changes to this notice

If we change how we use your information we’ll update this page and change the date at the top. There are a couple of points above where we’ve said we’re still taking advice; we’ll come back and make those specific rather than quietly leaving them vague.
